06 / Privacy & Operations

Patient information must be handled through approved, controlled workflows.

Trust MBS LLC will work with the practice to define access, communication channels, responsibilities, and reporting before onboarding. Security measures and contractual obligations should be confirmed for the specific engagement.

Access control

Use client-approved accounts and permissions limited to the work assigned.

Confidentiality

Establish confidentiality expectations for all personnel who may access client information.

Approved channels

Use communication and file-transfer methods approved by the practice for the relevant information.

BAA & responsibilities

Where required, execute an appropriate Business Associate Agreement and document each party’s responsibilities before handling protected health information.

Incident escalation

Agree on how suspected privacy or security incidents are reported and escalated.

EHR / PM workflow

Align with the practice’s existing EHR and practice-management procedures where access and compatibility are approved.

Important: This proposal does not itself certify compliance or replace legal, privacy, or security review. Specific safeguards, training, agreements, and operating procedures must be verified before services begin.
